The Challenge
When a college needs to process over 10,000 student examination papers within a tight 7-day window, efficiency isn't just desirable - it's critical.
This project tackled the complex ecosystem of exam creation, execution, and evaluation that often buckles under traditional manual processes.
Understanding the Core User
At the core of this challenge is the role of the Controller of Examinations - tasked with planning and executing examinations across a wide array of departments, courses, and student groups. While the objective is clear, the complexity lies in the coordination and precision required at every stage.
This user is a casual technology adopter, familiar with mainstream digital platforms like social media, and prefers tools that are intuitive and require minimal learning curves. The need is for a system that simplifies complex workflows, reduces administrative load, and ensures accuracy without requiring deep technical expertise.
Design Strategy
The primary source of frustration comes from the volume of manual work involved. Small errors—such as a scheduling oversight or a data mismatch - can lead to cascading issues, forcing teams to repeat processes and creating unnecessary delays.
Simplifying Complex Workflows
The examination process involves numerous interconnected steps—from scheduling and paper distribution to invigilation arrangements, answer sheet collection, evaluation, and result processing. The design approach focused on creating an intuitive interface that breaks this complexity into manageable, sequential tasks while providing clear visibility into the entire process.
Each step was carefully mapped and optimized to eliminate redundancies and reduce cognitive load, allowing administrators to navigate confidently through the system regardless of their technical expertise.
